\n<\/strong>Meadow Hill Board Meeting
\nOctober 21, 2020<\/strong>\u00a0<\/u><\/strong><\/p>\n

Executive Session<\/u><\/strong><\/p>\n

The executive board meeting was called to order at 1:00 PM.\u00a0 This was a zoom meeting. Present were Luther Weeks, Larry Abbott, Toni Dolan, Sandy O\u2019Leary, Connie Liscomb and Sheila Duncan.<\/p>\n

The meeting adjourned at 1:28PM\u00a0<\/u><\/strong><\/p>\n

Open Session<\/u><\/strong><\/p>\n

The Regular Board Monthly Meeting was called to order at 1:30 PM with the Directors and Manager noted above present as well as Maintenance Supervisor Darien Covert.\u00a0 This meeting was held online through zoom; access with a number of residents were present online as well.<\/p>\n

Minutes<\/strong><\/p>\n

The minutes from the online board meeting of September 16, 2020 were \u00a0approved unanimously by email.<\/p>\n

President Remarks<\/strong><\/p>\n

None.<\/p>\n

Financial Reports<\/strong><\/p>\n

Larry Abbott stated that the reserves are good.\u00a0 It appears that we will be $10,000 under budget.<\/p>\n

Maintenance and Committee reports<\/strong><\/p>\n

\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Superintendent Report : <\/strong><\/p>\n

The fire hydrants were flushed out. To have them painted we need to contact MDC to schedule. Sheila to do that.\u00a0 Sprinklers will be all blown out on the 26th<\/sup>.\u00a0 Grasses and hydrangeas and pruning to be done next week or 1st<\/sup> week in November.\u00a0 Dryer vents will be put on schedule to be cleaned as requested and where not a problem to access.<\/p>\n

Committee Reports:<\/strong><\/p>\n

Social Committee:\u00a0 <\/u><\/strong>Sandy O\u2019Leary shared that the 100th<\/sup> Birthday ride by and walk by for John Vollinger was a success. It was also covered in the Hartford Courant.<\/p>\n

Grounds:\u00a0\u00a0 <\/u><\/strong>Mike Proulx stated the committee is wrapping up all the fall projects.<\/p>\n

Tree Committee: \u00a0\u00a0\u00a0\u00a0<\/u><\/strong>Gene Flynn stated that Watson tree service was here for 2 days and did a phenomenal job.<\/p>\n

Next need to see what is left and needs immediate attention and what can wait.\u00a0<\/u><\/strong><\/p>\n

Welcome Committee:<\/u><\/strong><\/p>\n

Linda Fillion reported that the welcome committee is still not functioning due to COVID-19.\u00a0 She is keeping track of all new residents.\u00a0<\/u><\/strong><\/p>\n

Budget Committee:\u00a0\u00a0\u00a0\u00a0 <\/u><\/strong>Larry Abbott indicated that open meetings were held in September and October and we are close to having a budget.\u00a0 There are a few fine points to go over and another meeting will be held on November 6th<\/sup> at 1:00 PM.\u00a0 Notice will be sent out to all owners.\u00a0<\/u><\/strong><\/p>\n

OPEN FORUM<\/u><\/strong><\/p>\n

Walter Brownsword \u00a0unit #276 asked about roof cleaning.\u00a0 Luther mentioned we would look at outside contracting for some that need cleaning.\u00a0 Darien also mentioned we are looking at purchasing a backpack sprayer that should be able to clean some areas.<\/p>\n

Managers Report<\/strong><\/p>\n

Sheila reviewed calendar, correspondence and status reports<\/p>\n

The by-laws amendment passed with 20% of residents responding and approving.\u00a0 The Secretary has signed it and now will be sent to our Attorneys. Filing to be done with the town by Imagineers.<\/p>\n

The renewal contract with Imagineers has been approved and signed.<\/p>\n

A hearing for unit #53 has been postponed until November board meeting.\u00a0<\/strong><\/p>\n

Old Business<\/strong><\/p>\n

Regarding COVID-19 \u2013there are no changes at this time<\/p>\n

The flat roofs on unit # 33 and 65 have been completed.<\/p>\n

New Business<\/strong><\/p>\n

A petition was received from some residents to consider opening the exercise room.\u00a0 Discussion was held regarding interpretation of State guidelines, Meadow Hill\u2019s attorney, Imagineers, CAI attorneys and insurance advisors. \u00a0At this time it still does not seem feasible.<\/p>\n

Homeowner Variance Requests:<\/strong><\/p>\n

Unit #67 request for new front door; Luther moved to approve, Larry 2nd<\/sup>, all in favor. Motion approved<\/p>\n

Unit #53 request for new storm door;\u00a0 Luther motion to approve, Larry 2nd<\/sup>;\u00a0 all in favor motion approved.<\/p>\n

Unit #53 request for patio enclosure; Luther moved to decline since we have a hearing scheduled for November to address damage to landscaping and review their plan to repair.\u00a0 Connie 2nd<\/sup>\u00a0 All in favor of declining this request\u00a0 motion to decline approved.<\/p>\n

Unit #276\u00a0 request for new front door;\u00a0 Luther moved to approve, Toni 2nd<\/sup>\u2019\u00a0 all in favor, motion approved.<\/p>\n

Unit #167 request to have parking sign moved 10 yards north.\u00a0 Luther moved to decline request\u00a0 Connie 2nd<\/sup>,\u00a0 Discussion ensued that parking would then be too close to the curve.\u00a0 All voted in favor to decline request.<\/p>\n

Connie moved to adjourn,\u00a0\u00a0\u00a0\u00a0\u00a0 Toni 2nd<\/sup>;<\/p>\n

The following requests were submitted and voted on by email between September 16th<\/sup> board meeting and the October21st board meeting.<\/p>\n

On 9\/18\/2020 the grounds committee submitted a detailed proposal to complete the fall projects.\u00a0 The total dollar amount was $1483 and within the preapproved budget.\u00a0 Connie motion to approve, Larry 2nd<\/sup>\u00a0 all in favor.\u00a0 Request approved.<\/p>\n

On 9\/23\/2020\u00a0 Luther moved to approve $3720 from reserves to have AD Masonry repair the stonewall near unit #136; Connie 2nd<\/sup>,\u00a0 All in favor;\u00a0 motion approved.<\/p>\n

On 9\/29\/2020 Luther moved to approve request from unit # 254 to remove grass plants but to\u00a0 table request to remove tree until the spring;\u00a0 Connie 2nd<\/sup>;\u00a0 all in favor;\u00a0 motion approved.<\/p>\n
