Executive Board Meeting
September 19, 2017

Executive Session

The Executive Session was convened at 12:27pm by President Ed Litke at the Clubhouse, 1st Fl. A quorum was present with the following in attendance: Directors: C. Abbott, N. Gordon, E. Litke, L. Weeks, C. Wanat  and APM’s E. Schaefer. Absent L .Abbott

The Executive Session was adjourned at 1:25pm

Open Session

The Open Session was convened at 1:32pm with the same present at the Clubhouse 2nd Fl.

President’s Remarks

President Litke stated concerns with the length of the last meeting.  Our goal is to complete the meeting by 3:00pm or 3:15pm at the latest.

Capital Projects and Work Orders

·        The Pool will close October 2nd.

Committee Reports

·        R. Bouchard, Friends of the River: – completed work for the year. Concerned to have some brush hog work done.

·        L. Weeks, Pool Committee – just at exploratory stage now.  Might have work done in Spring, more likely next fall.

·        N. Gordon, Landscape – New Committee has four members, could use another from near Main St. side of Meadow Hill.

·        R. Kolwicz, Former Ad-Hoc Landscape – 46 plants and trees planted from recent plan – Maintenance did great job, also planting seed and soil along Hollister Way South.

·        R. Kolwicz. Ammenities – turning attention to Clubhouse kitchen next.

·        J. Soule, LARK – has several delivery volunteers.  Would like two from Stonybrook.

·        L. Weeks, Board – considering replacing metal edge around garage doors with wood-like material. Darien has partially done garage #89, will complete. Owners can view. Board will consider at next meeting. Would save $, look better, less dents..

Owners’ Forum

·        #223 P. Maloney – problem entering and leaving garage as frequently both adjoining garages,(#229, #276) have vehicles parked in front of garages.

·        #197 D. Vollinger for owner – requests handrail near door on deck, lights on path, motion sensor light.

o   Eric and Darien will review, recommend to Board.  Likely email vote.

·        #61 H. Rosenthal – Why is there no agenda item for Dog Park?

o   Board not in favor, voted to remove from agenda.

·        #77 Contractor for new owner – requests skylights, additional AC, permanent generator.

o   Eric and Darien will review AC and generator locations, recommend to Board.

o   Skylights with usual stipulations – L. Weeks moved, C. Abbott 2nd. Approved unanimously.

·        #330 B. Spencer – Appreciates Board for excellent job of Highlight cutting the brush on the hill.

·        #102 J. Goselin – In favor of Hollister House flag improvement. Center flag area needs improvement.

o   Center flag area referred to Landscape.

·        #168 M. Shea – Thanks for taking down tree and for grass seeding.

·        #272 K. Collins – Can anyone use grills behind Clubhouse and stove in kitchen?

o   Yes, yet not kitchen when Clubhouse rented.

·        #112 S. O’Leary – Parking issue in front of doors, any action yet?

o   #102 J. Goselin – Some with no car in garage, park car in front of garage

o   No Board member has proposed a rule change to consider. Owners could persuade member(s) to propose a rule etc.

  •   129 & #133 Request Meadow Hill to install a path between units
    Loam and grass seeded.  Owner now satisfied, request withdrawn.
  •        Kyack Rack
    Alternative is neat placement of kaycaks.
    Remove from consideration – C. Abbott moved, C. Wanat 2nd. Approved unanimously.
  •       Consider bridge railing
    Permanently table – L. Weeks moved, E. Litke 2nd. Approved: E. Litke, L. Weeks, C. Wanat, N. Gordon Yes; C. Abbott No.

New Business      

  •         #10 Request to install replacement sliding patio door
    Question white screen color. Table – L. Weeks moved, C. Abbott 2nd. Approved unanimously.
  •         Proposal the BOD approves removal of Sumac shrubs at woodland edge by any member of BOD or their designee
    Char of Friends of the River can approve removal of Sumac, trees, and  shrubs from the dump fence south to the end of Hollister Way North and west to the river – L. Weeks moved, E. Litke 2nd. Approved unanimously.
  •         Proposal the BOD approval removal of weeds & vines the engulf trees & shrubs at woodland edge.
    Permanently table –  L. Weeks moved, E. Litke 2nd. Approved unanimously.
  •         Grounds Committee Proposal – The Dump Fence
    Approve 6’ fence extinction and purchase of four maiden grass plants. Cost to be under $150 – L. Weeks moved, C. Abbott 2nd. Approved unanimously.
  •         Proposed revised Clubhouse Rule.
    Notice and comment as revised – L. Weeks moved, E. Litke 2nd. Approved unanimously.
  •         Request to resinstall American flag at Hollister House front of building over front door
    Maintenance will investigate alternatives
  •         #312 Request for tree removal at right back corner of unit
    Maintenance to remove – L. Weeks moved, E. Litke 2nd. Approved unanimously.
  •         #175 Request to plant a creeping juniper at foot of path where rain washes dirt into driveway
    Withdrawn by owner
  •         #147 Request for heat tap eat rear gutter and removal of large tree at rear of unit
    Heat tape owner responsibility
    Darien will contact Watson tree for 2nd opinion on tree. E. Litke to get opinion of #153
