Executive Board Meeting Minutes
February 19, 2025
The Executive Session was called to order at 9:14 AM
Board Members Present: Jim Fuda, Brenda Berk, Donna Whalen, Walter Brownsword, Paul Jenkins, and Tim Reid. Deb Wellington was present via audio. Kristin Davis of Imagineers was present via Zoom.
Per state law, voting on any issue discussed in the Executive Session is done in the Open Session of the Board of Directors meeting. See the Open Session notes below for any action taken by the Board on any item discussed in the Executive Session.
Open Session
Meeting convened at 10:06 AM
- Roll Call: In attendance: Jim Fuda, Brenda Berk, Donna Whalen, Walter Brownsword, Paul Jenkins, and Tim Reid. Deb Wellington was present via Zoom. Darien Covert of MH as also present. Kristin Davis of Imagineers was absent.
- President’s Remarks: Jim Fuda Welcomed all who attended.
- Financial Report: Brenda Berk Treasurer – The good news for January is that $43K was paid out of the operating account for the downpayment on our Master Insurance Policy. This will impact on the cash flow for February somewhat. Our February expenses will likely be over budget due to unplanned expenses.
- Maintenance Report: Darien Covert- The maintenance staff have been busy plowing, salting and clearing the walkways during the recent storms. Most of the siding/fascia blown off by the wind has been replaced on those units affected. The prune/no prune letter will be sent out soon.
- Manager’s Report: Kristen Davis had a meeting conflict and was not able to attend. Her report can be found in the Board Packet.
- Committee Reports:
Grounds: Mike Proulx via Zoom- The committee has nothing to report.
Communications: Gene Flynn: The committee is putting the final touches on the Lark.
Maintenance: Walter Brownsword and Paul Jenkins – They have completed the inspection of the flood and motion lights. They will put together a work order for those that need bulb replacement or replaced altogether. Walter reminded us there are still Unit Owners who have not yet complied with the dryer vent and/or the water heater programs. The Annual High-Risk Inspection is 90% complete. The other units will be inspected when owners return in the spring.
Social Committee: Donna Whalen reminded us that the Glastonbury Fire Marshall Presentation will be held on Wednesday, February 26th at 4PM. Please text or call if you plan to attend. You can reach her at 413-429-6323. Yoga with Patty will return February 25th at 3:00PM. The next Coffee Hour is March 4th at 10:00AM. The Social Hour date is March 20th at 4:00 PM.
Long Term Planning: Frank Cisz- The Hollister House has the full support of this committee. Frank reminded us that the Town Council Meeting is on Tuesday, February 25th at 7:00 at Town Hall and encouraged Meadow Hill residents to attend.
Committee member, Dave Hogan, is working with the town Social Worker to gather information of the services offered to seniors.
Risk Management: Deb Wellington- The committee has nothing new to report.
Rules: Vicky Germani was absent due to illness and will report at the next meeting.
Amenities: Ron King’s full report can be found in the Board Packet.
Legislature: Luther Weeks: No legislative action to report this month.
- Open Forum
Mike Proulx asked how those who are away in the winter will receive their directories. Jim assured him that they will be held for you until you get back.
- Business Items for 2025
- A letter will be sent to unit owners who have not complied to our Dryer Vent Program requesting a hearing with the Board.
- The gas fireplace logs letter will be finalized by Jim Fuda and mailed within the week.
- The Fire Safety Program will kick off this week with a presentation from the Glastonbury Fire Marshall, in the clubhouse on Wednesday, February 26th at 4:00 PM. He will explain the placement of CO/Smoke/Gas detectors, teach us how to use a fire extinguisher/fire blanket, and discuss grille safety.
- A letter will be sent to unit owners next month explaining their responsibilities to our 2025 Smoke Detector and CO Monitor Replacement Program

- Deb Wellington made a motion to make the agreed upon changes to the Letter for Prospected Meadow Hill Unit Owners and put the letter in the Resale Packet. Brenda Berk seconded this. Vote: Yes,7/No,0. Unanimous
- Walter Brownsword made a motion to administer the agreed upon raises to the Maintenance Staff. Seconded by Brenda Berk. Vote: Yes,7/No,0. Unanimous
- A motion made by Brenda Berk and seconded by Paul Jenkins to open a savings account at American Eagle Financial Credit Union. Vote: Yes,7/No,0. Unanimous.
- Motion to adjourn made by Walter Brownsword and seconded by Paul Jenkins.
Vote: Yes,7/No,0. Unanimous.
