Executive Board Meeting
March 21, 2018
Executive Session
The Executive Session was convened at 12:32pm by Manager Sheila Duncan at the Clubhouse, 1st Fl. A quorum was present with the following in attendance: Directors: C. Abbott, L. Abbott, E. Litke, C. Wanat, and L. Weeks, along with Manager S. Duncan.
Absent: N. Gordon.
The Executive Session was adjourned at 1:33pm
Open Session
The Open Session was convened at 1:38pm with the same present, at the Clubhouse 2nd Fl.
Capital Projects and Work Orders
- Covert discussed the tree and branches downed by the storm. The clean-up must await less snow cover. He discussed offers of help and chippers by Watson and Highlight.
- Litke moved, L. Weeks 2nd – $500 per day for up to two days to accept Highlight’s offer of a chipper, truck, and driver to help with the cleanup.
Committee Reports
- Goselin, Friends of the River – Planning a kickoff meeting shortly, to plan for the year.
- Kolwicz, Amenities – Kitchen work completed. Only 100 left in budget. Proposed $185 for microwave and either $280 or $550 for 18” or 24” cabinets on wheels.
Wanat moved, C. Abbott 2nd – total of $650 (in addition to the $100) for the microwave and $550 cabinet. Approved unanimously. - Kolwicz, Trees subcommittee of Landscaping – R. Bouchard replacing P. Bryant on committee. Working with Watson Tree to create a new recommended tree trim and remove tree list based on recent damage, for next month’s meeting.
.Owners’ Forum
- #82 L. Fillian – When will telephone directory come out? Response: In a month or two. Usually 60-90 days after management company change.
- #90 Marge DeMay – When will direct pay be effective? Response: Manager will check.
- #175 J. Palatine – Will there be mulch this year? Response: Yes, $2000 in budget for common areas and $3000 for owners. Can be delivered by staff for owner spreading or owners can hire anyone, including staff on off-duty hours to spread.
- #75 J. Perry – Needs phone number to lodge work orders. Response: 860-768-3419.
- #105 V. Germai – Problems with birds coming in chimney and neighbor’s bird feeder attracting birds to drop on deck. Need restrictions on locations and size of bird feeders.
#33 D. Faxon – Its been two years with no action on bird feeder issues.
Response: Chimney protection is owner’s responsibility. Perhaps when we contract with company to paint remaining stacks, they might as well contract with owners for chimney protection. Board is considering limiting feeders to certain months and other restrictions on location, size and type. Restricting location, size, and type can be complex. - #272 K. Collins – Recent storm blew a storage box from deck. Very loud crash onto AC unit. Could have caused damage or hurt person. Response: Will remind owners that items should be secured and that damage would be their responsibility.
Financials
L. Abbot noted that next month or month after we should have new financial reports generated by Imagineers.

- #242 Request for snow removal of roadside walkway
- Tabled pending agreement on Hold Harmless agreement
New Business
- #233 Request for new window and patio door – L. Weeks moved, C. Abbott 2nd – To approve without Hold Harmless. Approved unanimously.
- Weeks moved, C. Abbot 2nd – Accept Central Connecticut Lawn Service proposal for fertilization etc., pay as we go for $11511.08. Approved unanimously.
