Executive Board Meeting
April 18, 2018

Executive Session

The Executive Session was convened at 12:30pm by Manager Sheila Duncan at the Clubhouse, 1st Fl. A quorum was present with the following in attendance: Directors: C. Abbott, L. Abbott, E. Litke, C. Wanat, and N. Gordon, along with Manager S. Duncan.
Absent: L. Weeks.

The Executive Session was adjourned at 1:33pm.

Open Session

The Open Session was convened at 1:35pm with the same present, at the Clubhouse 2nd Fl.

Capital Projects and Work Orders

  1. Covert discussed the Orkin termite control company’s finding no termite activity.

New fencing will begin being installed on the South road in May.

  1. Wanat moved, C. Abbott 2nd– accept list of 16 spring projects with maintenance. Approved unanimously.

Committee Reports

  1. Bouchard – Friends of the River – the committee deadheaded the plants on the bank. Mulching was placed on the bank. The stream banks were cleaned up and Central Lawn will handle weed control on the banks. Milkweed plants are being cultivated for use on the banks to attract monarch butterflys. They are within their budget.
  1. Kolwicz, Amenities – Kitchen work completed. The microwave is in place and the cabinet for storage is in also.
  2. Kolwicz, R. Bouchard- Trees subcommittee of Landscaping- A CIA arborist with Watson’s were consulted to identify the white pines and evergreens that are dangerous to our community and/or owners. Pictures were provided with the suggestion of immediate attention needed. Also included was a catalpa tree. The expense was estimated at approximately $20,000.
  3. Abbott- Nominating Committee- Anyone interested in a board position was encouraged to give a brief note to Larry regarding your history.
  4. Gordon- Grounds-Pictures were presented showing areas needing plantings. Nine areas are being considered with input from Highlighters. E. Litke, moved C. Abbott 2nd-that $3000 of their budget be spent on the improvement. Approved unanimously. Mulch will be delivered for common areas and owners can request what is left over through our maintenance dept.

Owners’ Forum

Managers Report

Orkin Termite Control company will monitor for termites.

Bouvier Insurance Company will cover our master insurance policy.

Financials
L. Abbott noted that next month we should have new financial reports generated by Imagineers.

Old Business

Bird feeder rule change- K.Wanat moved, N. Gordon 2nd-send the revised Rule 6 be sent to owners for Notice and Comment. Approved unanimously.  

New Business

  1. Gordon moved, K. Wanat 2nd, L. Abbott- friendly amendment – approve $7,000.00 from reserves to be used for tree removal in addition to the $5000.00 in the present account to total $12,000.00. Watson’s, Darien Covert, and the committee to make the final decision as to which trees will be removed. Approved unanimously.
  2. Litke moved , N. Gordon 2nd-approve the walkway request unit #77 with a hold harmless agreement.
  3. Wanat moved, L. Abbott 2nd– approve the walkway request unit #240 with a hold harmless agreement.

Recent Votes and actions taken outside of Board Meetings:

  • 4/6/2018 That the Meadow Hill staff replace the South fence approximately along the current complete line; purchase materials, rent a skidsteer auger, purchase a nail gun, and appropriate other items not to exceed $12,000 in total, remove the old South Fence, and install the new South Fence. Approved unanimously.
